Turn WhatsApp messages into clock-ins
TramitApp turns any WhatsApp message into a valid, traceable clock-in. The employee simply writes “Clock in” to the TramitApp number and the system records the entry or exit with the exact time and, if you enable it, the location. No apps, no training and legally sound.
Every message becomes a clock-in that cannot be altered
Exact time on every record; GPS location optional
Works on any phone with WhatsApp
Meets Spanish Royal Decree-Law 8/2019 from the very first clock-in
Two steps, by text or by voice, nothing to install and valid records from the first clock-in.
1. Write or send a voice note saying “Clock in”
The employee opens WhatsApp and sends the word “Clock in” to the TramitApp number. They can also send a voice note — handy when their hands are full, on site or out on a round, and an important accessibility route for people with a visual impairment. Nothing to install, no accounts to create, no training. It works on any smartphone with WhatsApp.
2. Get your confirmation
TramitApp confirms the clock-in with the exact time in the same WhatsApp chat. The record lands in the HR dashboard straight away and cannot be altered, ready to review, export or audit.
Joined up with your whole HR system
Clock-ins arriving on WhatsApp are processed automatically and appear straight away in the TramitApp dashboard, alongside every other method. No importing data, no spreadsheets, no two systems running in parallel: all of your time and attendance in one platform.
In the TramitApp dashboard you see in real time who has clocked in, at what time and, if location is enabled, from where. Filter by team, by shift or by site. Everything you need to run time and attendance without jumping between tools — ideal for distributed teams.

See who clocked in and when, with location if enabled
Yes, with one important caveat: WhatsApp on its own is not a time and attendance system.
For the clock-in to be valid it has to sit on a platform that meets the regulations in force — in Spain, Royal Decree-Law 8/2019 — and guarantees the part that matters: real traceability, data that cannot be altered and immediate access if the Spanish labour inspectorate asks for it.
Sending a message to a group is not enough: it can be edited and leaves no valid record.
What makes a clock-in valid is not the channel, it is the system behind it.
TramitApp takes that clock-in and stores it, unalterable, on its ISO 27001 certified platform, with the exact time, optional GPS location and every legal requirement, including the four-year retention Spanish law sets.
Frequently asked questions about clocking in on WhatsApp
How do you clock in on WhatsApp with TramitApp?
The employee sends a message to the configured number (in, out, break) and TramitApp records the day on the central dashboard, timestamped by the server. Useful for people who do not open the app daily — reps on the road, site teams, less tech-minded staff: if they can send a WhatsApp, they can clock in.
Are WhatsApp or Telegram clock-ins valid for the Spanish labour inspectorate?
Yes. A clock-in received on WhatsApp or Telegram is consolidated in TramitApp with the same legal standing as any other channel: it meets Spanish Royal Decree-Law 8/2019, keeps the record unaltered for the four years Spanish law requires and exports it as PDF or spreadsheet for the Spanish labour inspectorate. The timestamp comes from the TramitApp server, not from the employee’s device.
Does WhatsApp clocking in record the location? Is it compulsory in Spain?
It is not compulsory. Location is optional and configurable: the administrator decides whether it is captured alongside the message, because Spanish Royal Decree-Law 8/2019 requires you to record when the work was done, not where.
Can I try WhatsApp clocking in before I buy?
Yes. You book a free personalised demo and a specialist walks you through the dashboard using your own case (office, site, road or shift work). No commitment, no account created for you and no card details. You only buy once you are sure it fits.
